1. Introduction

Fixed Form Holdings LLC publishes The Gainesville Ledger. This policy describes what personal information we collect when you visit gainesvilleledger.com or submit content to it, how we use that information, and the choices you have.

2. What we collect

Reader visits.Our hosting provider (Vercel) keeps standard server logs — IP address, user agent, and requested URL — for approximately 30 days for security, abuse prevention, and performance monitoring.

Press release submissions. The organization name, release headline, release body, optional original URL, and optional contact email you provide on /press-release.

Tips. The tip text, plus any optional name, contact email/phone, or source you choose to provide on /tip. You can submit a tip anonymously by leaving the contact fields blank.

Journalist submissions. Name, email, optional bio, and the story text submitted by approved contributors via their tokenized URL.

Admin session. A single cookie (ledger_admin) stores the editor’s signed-in state.

3. Analytics and tracking

We use first-party and third-party tools to understand how readers find and use the Site. These may include web analytics platforms, advertising attribution pixels, conversion tracking, and similar measurement technologies. Such tools typically collect information like page views, referrer, browser and device type, and approximate location based on IP address.

The specific tools in use may change over time. The “Last updated” date at the top of this page reflects the current configuration; check there before relying on a specific representation about which providers we use.

The Site is free to read and we do not collect payment information.

4. Why we collect it

To operate the publication, review submissions, contact submitters when follow-up is needed, secure the admin panel, and detect or prevent abuse. We do not use submission contact information for marketing.

5. Third parties we share with

We do not sell, rent, or trade personal information. We do share certain data with the service providers that operate the Site:

  • Supabase (database hosting) stores submissions and editorial content.
  • Anthropic(AI model provider) processes source-article text and submission text in order to generate neutral summaries and editorial classifications. Per Anthropic’s API terms, this data is not used to train their models.
  • Vercel (hosting and CDN) processes server logs and HTTP traffic.

These providers are contractually obligated to protect data and use it only to provide their services. Their respective privacy policies apply to their handling of data.

6. Cookies

See our cookies policy. We use a small number of essential cookies. No third-party advertising cookies.

7. Retention

Published editorial content (clusters, articles, original reporting) is retained indefinitely as part of the editorial archive.

Server logs are retained for approximately 30 days.

You can request deletion of a submission you made (press release, tip, journalist article) by emailing privacy@gainesvilleledger.com. We will honor reasonable requests within 30 days, except where retention is required by law or where the content has already been incorporated into published reporting.

8. Your rights

Under California (CCPA), Florida, and similar state privacy laws, you may request:
  • to know what personal information we hold about you;
  • correction of inaccurate information;
  • deletion of your information (with the limits above);
  • confirmation that we have not sold your information (we don’t).

9. Children

The Ledger is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has submitted personal information through the Site, contact us and we will delete it.

10. Changes

We may update this policy. The “Last updated” date reflects the current version. Material changes will be noted on the homepage or in the daily edition.
